Ceremonial Document and Proclamation Requests
Requests must be submitted at least 30 days in advance.
The Office of Communications processes requests for ceremonial documents and proclamations, including letters of condolence, congratulations, appreciation, welcome letters, and other official recognitions. Requests may be submitted on behalf of individuals, organizations, or events located in the City of Montgomery and surrounding areas.
Please allow 14 business days for processing, unless there are unforeseen circumstances, such as a death, that require expedited consideration. Requests submitted fewer than 30 days before the requested date may not be guaranteed. Submission of a request does not guarantee approval. The City of Montgomery Mayor’s Office reserves the right to approve, modify, or deny any request.
The Mayor will not recognize any individual, group, or organization whose policies, positions, or activities advocate violence, hatred, or any stance contrary to the well-being of the citizens of the City of Montgomery.
Proclamation Request Requirements
Proclamation requests must include complete and specific information. Requests that are incomplete, too vague, or do not meet the requirements below may be returned for revision or denied.
All proclamation submissions must include:
- The exact name of the person, organization, event, or cause being recognized
- The reason for the timing of the request, such as an anniversary, retirement, milestone, awareness month, conference, or special event
- At least one sentence explaining how the person, organization, event, or cause directly connects to or benefits the City of Montgomery
Proclamation language must:
- Fit on one page
- Be no more than 300 words
- Include a minimum of 3 and a maximum of 5 “WHEREAS” clauses
- Include exactly 1 “NOW, THEREFORE” clause
Please note: The Office of Communications does not schedule the Mayor for events or presentations. If you would like to invite the Mayor to attend an event, a separate scheduling request must be submitted. If the Mayor is unavailable, you are encouraged to contact the City Council member for your district.
